THE BASICS:  Do You Keep a Professional File?

You know, of course, that Administrators keep a detailed personnel file on you.  But have you compiled a personal file that's complete and up to date?

No, not that coffee-stained folder in your desk drawer or the cardboard box in your basement.  We're talking about a professional employment file kept in a safe place, with documentation that could counter false charges about your job performance.

A professional file, the National Education Association - New Mexico advises its members, should contain, among other things:

  • all signed contracts, including extra-duty contracts

  • all other documents you sign

  • copies of all documents in your District Personnel file (you are entitled to see and copy your file)

  • all performance evaluations and growth plans

  • all written directives or reprimands

  • descriptions of any incidents involving students, parents, colleagues, or administrators.

  • up-to-date transcripts of all course work and participation in professional conferences and workshops

  • pension information

  • recommendations, awards and honors

  • work schedules for current and past years

  • the current Association contract with your district or other negotiated agreements (if you have one)

  • the current employee and student handbooks

  • all correspondence between you and administrators

  • all correspondence with parents, including complimentary notes

  • proof of Association membership

  • a copy of the NEA Educators Employment Liability insurance plan
